About these terms
These terms govern your use of the LongLife Fitness website, member portal, and mobile app — including personal training packages, session bookings, workout and meal plans, progress tracking, payments, and any other coaching services provided through them.
By creating an account, booking a session, purchasing a package, or otherwise using the portal, you agree to these terms together with the LongLife Fitness privacy notice.
These terms are between you and LongLife Fitness. The portal, member app, and supporting infrastructure are operated for us by Smart Property Software Ltd (company number 17126256, registered office 17 Watling Street West, Towcester, NN12 8LD) trading as SmartGyms.
Personal training packages
Personal training packages are offered through the portal at the price, duration, session count, and cadence shown at the point of purchase.
Your selected package, the price you are charged, and the cancellation rules that apply to it are set out at checkout. LongLife Fitness may update the public catalogue of packages from time to time; any change to packages you have already paid for is governed by these terms and the Direct Debit Guarantee where applicable.
Recurring packages renew automatically on the cadence shown at checkout until you cancel. You can cancel a recurring direct debit at any time from your portal billing screen or by contacting your bank.
Bookings, cancellations, and missed sessions
Sessions can be booked, rescheduled, and cancelled from the member portal or mobile app, subject to the cadence and notice rules attached to your package and the coach's availability.
LongLife Fitness may reschedule, reassign, or cancel a session where staffing, safety, illness, or facility issues make this necessary. Where this happens, we'll offer you the nearest equivalent slot or, where no equivalent is available, credit the session back to your package.
Sessions missed without sufficient notice, or repeated late cancellations, may be treated as used sessions in line with the cancellation rules shown on your package.
Payments, direct debits, and refunds
One-off card payments taken through this portal are processed through Stripe. Recurring direct debit payments are processed through GoCardless, which is regulated by the Financial Conduct Authority.
By setting up a direct debit through the portal you authorise LongLife Fitness to collect payments at the cadence and amount agreed at checkout. The full Direct Debit Guarantee applies to every direct debit you set up with us, and is shown on the billing screen where the direct debit is created.
If a payment fails, we may pause your access to coaching content, session booking, or other portal features until the balance or mandate issue is resolved. You can update your bank account or switch to a different package at any time from your billing screen.
Refunds for unused sessions or pro-rated portions of a recurring package are at LongLife Fitness's discretion, subject to the terms of the relevant package and the rules of the payment provider.
Accounts and portal access
You are responsible for keeping your login details secure and for all activity carried out using your account.
Access to coaching content, booking, and payment management depends on having an active package, an in-good-standing payment status, and respecting the conduct expectations set out below.
LongLife Fitness may suspend or restrict portal access where misuse, repeated failed payments, charge disputes, or breaches of these terms are identified.
Health, safety, and conduct
Personal training is a physical activity. By booking sessions through the portal you confirm you are reasonably able to participate and that you will tell your coach about any medical condition, injury, pregnancy, or medication that may affect your training.
You must follow your coach's instructions during sessions and use any equipment safely. LongLife Fitness may end a session, decline future sessions, or end the coaching relationship where behaviour is unsafe, abusive, threatening, or seriously disruptive.
Nothing in these terms excludes liability for death or personal injury caused by negligence, fraudulent misrepresentation, or any other liability that cannot be excluded under UK law.
Coaching content, workout and meal plans
Workout plans, meal plans, exercise demonstrations, and other coaching content provided through the portal are for your personal use only. You may not share, copy, resell, or distribute the content without our written permission.
Coaching content is general guidance based on the information you share with your coach. It is not medical advice. If you have a medical condition or are unsure whether a particular plan is suitable for you, please consult a qualified medical professional first.
Changes to the portal
LongLife Fitness may update this portal, its features, and these terms from time to time to reflect operational, legal, commercial, or security changes.
Where a change materially affects active packages or sessions managed through the portal, LongLife Fitness will aim to provide reasonable notice through the website, email, or in-app communications.
